We have a lot of groups stay with us here at Asheville Cabins. We have one, two and three bedroom cabins (25 total) located on 40 acres in the Asheville city limits, so individual group members aren’t too far from each other OR the city center. With the layout of our cabins, each group member can walk to every cabin on property, but has the option to retreat into their very own cabin home when they just want to enjoy the peacefulness of the WNC woods. Here are a couple of FAQs for booking a group reservation with us:
How do Group Reservations work?
If you are reserving more than 3 cabins with us, you officially have a group reservation. One person is the group host, and all cabins are reserved under their name. We construct a group rental contract with due dates, deadlines and policy information, and email to this group host. If agreed, the host will sign and return the contract via fax or email. There is a refundable security deposit of $100.00 per cabin, due upon booking. For example, if you have 4 cabins: $400.00, 5 cabins: $500.00 and so on and so forth. This is returned after deposit if everything in the cabin is in original condition and each item in its original cabin.
Once the contract has been signed and the refundable security deposit charged, we arrange a time period for either the group host or the individual guests to pay the first 50% of cabin costs. This is usually a month out from when the security deposit was paid (take for example a host reserved and paid the deposit in early February, due date for the first 50% would be in early March.) If the host cannot take on all costs, the individual guests may call in and explain that they are part of the group. They will need the date of the reservations and the group host name. They then have the opportunity to pay the 50% on the specific cabin that has been reserved for them. The group host is responsible for letting their guests, as well as Willow Winds, know who is going into what cabin. The guests calling in should know which cabin they will be occupying. The balance (other 50%) is always due 45 days before arrival.
What if I have to cancel?
We understand, things happen! If a specific cabin ends up not being needed, it may be cancelled any time before the “45 day before” deadline. At 45 days before, all balances are due, so no refunds will be offered at that time. If there is a complete cancellation of the whole group, you will be refunded all amounts paid (including the refundable security deposit) minus a $25/per cabin cancellation fee, as long as cancelled before 45 days before arrival.
What is there to do on your property?
We have a fully-stocked trout pond that you are able to use at no cost, maximum of 5 fish per cabin per day. You don’t need a fishing license since we are on private property; just bring your own pole. There are also two playgrounds, an arcade game porch next to our office, a gym, and a seasonal water balloon launching station. We provide water balloons for the launching station in our office. Our property is located in the Asheville city limits, so your group will be only a 15 minute drive to downtown, 7 minutes to the Biltmore Estate, and two minutes from the closest grocery store. The Asheville Airport is a 17 minute drive from us.
Is there a group meeting area on the property for us to use?
Unfortunately, we do not have a group conference center or pavilion for large group to congregate on our property. If you have reserved the entire road (say, 6 cabins on Trout Trail), you would have the outdoor space near the cabin if you wanted to rent a tent or tables to put up. If this is something you are planning on arranging, it must be approved by our office beforehand. If any of the cabins nearby are occupied by a guest not part of your group, this won’t be an option, as we must ensure that their experience at our cabins is as peaceful as possible. We do have lots of groups utilize one of our larger cabins (usually Pat’s Place or Jessie’s Magnolia) for a smaller group get-together.
Do you have wedding ceremonies on property?
We do not hold ceremonies at Willow Winds, but we have a lot of wedding groups stay with us when getting married off-property! Click here for a list of venues we recommend.
Where can we eat dinner that will accommodate a larger group?
There are several Asheville restaurants that have an event section for larger groups. Isa’s Bistro and Pack’s Tavern downtown are great options for groups, as well as Corner Kitchen in Biltmore Village. Call us to see what places might work best for your group.
Is there a pool on property?
There is not a pool at Asheville Cabins of Willow Winds, but we are close to city pools and natural swimming holes that guests love! Also, you always have the water balloon launching station to cool down with.
Do you have quiet hours?
Since there is a good chance that cabins nearby might be occupied by guests not part of your group, our quiet hours are 10 PM – 8 AM. A lot of our guests come to Willow Winds to experience the tranquility of nature in the WNC Mountains, and it is always our goal to maintain that as much as possible.
